The reenio system is under continuous, ongoing development, which brings new features, integrations with other tools and devices, and improvements to existing features and elements of the administration and the reservation page. Development follows both the needs of users and their businesses, as well as developments in the technology world – new technical solutions or web technologies are gradually incorporated into the system so that every user can work with them effectively.

Development also automatically responds to current formal and legislative requirements, for example in the area of personal data protection (GDPR) or obligations related to reporting illegal content or online withdrawal from a contract. Thanks to this, you can run the reservation system in compliance with current rules without having to track and address every legislative change yourself.

Thanks to the system's concept, which uses cloud technologies for its operation and works as SaaS (Software as a Service), it always holds true that new features or updates are available to all users. The availability of these features and changes is always automatic, and the user doesn't need to carry out any system update or installation.

Resources are a key element of how the whole reservation system works. Thanks to them, the system can automatically make sure that two reservations requiring the same resource – employee, place, or service – never overlap.

Let the reservation system automatically make sure you never have two reservations overlapping at the same time if they use the same resource. Thanks to collision protection, there's no problem creating a complex range of events and services while still ensuring effective management of reservations for the same time slot.

Resources (service, employee, place) in the reenio system serve not only as the informational basis for the range of events, their filtering, and navigation, but also as an important element in automating the whole reservation process. Thanks to collision protection, the system automatically evaluates whether a reservation can be created at a given time, or whether it would cause a collision due to the resources involved already being booked – for example, if a sauna would be booked at the same time by another reservation, but for a different service.

If you want to make reservations really efficiently, and want to offer your customers different options, services, prices, etc., then collision protection is definitely a feature worth understanding and getting right. For example, if you run a tire shop and car wash with 3 bays, thanks to collision protection you can offer different services (events) across the bays, and if a customer books one service in bay 1, no other reservation for the same time can be created for bay 1. And the reservation system takes care of exactly this automatically.

Collision protection is available for almost all event types. It cannot be used to protect against collisions at the level of individual seats in a seat map.

An overview of your customers, their details, and history is key to any business. The customer database not only records this data but also provides tools for communication, data export, and meeting GDPR requirements.

Keep a clear customer database with a reservation history and a whole range of related tools. The reenio system automatically builds the customer database based on reservations made or direct registration. A registered customer gains the ability to log in and manage their reservations directly within the reservation page. If customer credit is used, they can see their balance within their account and top it up online.

Depending on your settings, a reservation can also be allowed without registration, simply by entering an e-mail address or phone number, which is especially suitable where you don't expect one specific customer to use the reservation system regularly and often.

A well-maintained, extensive customer database is an important marketing tool. The system offers the option of bulk sending e-mail or SMS messages, which is useful for reaching customers with a new offer, a discount campaign, but also operational information or as part of crisis management.

The customer database naturally contains personal data, which today requires a certain approach to how it's handled and protected. The reservation system allows you to set up automatic deletion of personal data after a chosen period, and also keeps track of customer requests to have their data deleted. This makes it easier to meet GDPR requirements in line with the rules defined for your particular business.

If you need to import a customer database from another system or a manually maintained spreadsheet, that's no problem – an existing customer list can be easily and smartly imported into the reenio system.

The reservation page is the main interface between the system and the customer. It is used to present the offer of events available for booking, as well as other information that makes it easier for customers to book or purchase tickets.

Offer customers the ability to book exactly where they expect to find your range of events – whether on your own dedicated web address, or embedded directly into your existing website. In both cases, in a form suitable for computers, tablets, and mobiles alike.

The reenio reservation page is the main place where customers choose and book your services. Its web address is up to you to set, and it can take the form of, for example, yourcompany.reenio.cz, or you can set it up directly as a website on your own domain. The page is responsive and adapts its display to different devices without losing content or functionality, and also supports multiple language versions if you're addressing customers from different countries.

Besides a standalone address, the reservation page can also be embedded directly into your existing website using a simple piece of code, so that visitors go through the whole booking process within your own web presence. You can embed either the whole offering, or just a specific event or service, and you can also hide unnecessary elements so the appearance blends in as well as possible with your website.

The content, look, and functionality of the reservation page can be customized to a certain extent – from choosing the basic layout, colour scheme, and content information, all the way to how the offering is displayed and the customer's journey and behaviour.

Waiting list

If there's high demand for an event, it can be useful to let a customer "join" as a waiting-list candidate. That customer then waits until they receive information (e-mail, SMS) that their turn has come and their reservation has become a full reservation.

Don't lose customers just because an event is already fully booked – let them sign up for a waiting list and automatically notify them as soon as a place opens up for them because an earlier customer cancels their reservation.

The waiting list feature lets customers express interest in a reservation even when an event no longer has free capacity. A reservation doesn't get created for them at that point yet – the system simply records their interest, including their details. As soon as the corresponding capacity becomes available (e.g. another customer cancels their reservation), the system automatically picks a waiting-list candidate from the queue based on order and capacity and creates a standard reservation for them with everything that entails – sending a confirmation, a possible payment request, cancellation rules, and so on. If a candidate on the waiting list doesn't get a spot, the system no longer notifies them any further.

This feature is only available for the Full single event type and must first be enabled and configured for the specific event.

Rental businesses, equipment hire, or accommodation – these are typical areas where this event type is a good fit. It allows you to create reservations for whole days or nights, with both the booking process and the price calculation adapted accordingly.

Offer customers a booking for several consecutive days at once – ideal for rentals and accommodation, which are usually counted in nights or days rather than hours.

This event type lets a customer book one or more consecutive days. In this case, the definition of the events follows on from each other (based on resources), and the system can automatically link such events together. This makes it easy to set, for example, a different price for different days – typically a higher price for weekend accommodation compared to weekdays. Combined with conditional pricing, pricing within this event type can therefore be very flexible.

It's particularly suited to accommodation and space rentals, but you'll also find it useful for all kinds of rental businesses – cars, campervans, e-bikes, or other equipment, where price and availability are calculated at the level of days or nights. By setting a minimum and maximum reservation length, you can easily offer a weekly or weekend rental.

Event: Interval

This event type allows opening hours to be split into regular time slots. Customers book one or more consecutive time slots according to their own needs. One of the most widely used and most efficient event types.

If you offer services in regular time slots (60 minutes, 90 minutes, etc.), this is the ideal event type, offering a simple and clear booking process.

The Interval event type lets you define a time range within a single day and split it into smaller, regular chunks. On the reservation page, a customer chooses these specific time slots, which can also follow on from one another, extending their reservation according to the defined rules.

This event type is typically suitable for sports facilities and sports complexes, consulting and advisory services, wellness, or a sauna.

Online events

Webinars, online courses, or online meetings – these too can be handled effectively with the reservation system. It supports several platforms and is able to secure access to content based on verification using the reservation code.

Running events that are only accessible online? Sell entry to webinars, online courses, or other events that take place purely online, while keeping control over who actually gets access to that content.

An add-on for the Full single event or Coupon event type lets you effectively create a reservation or sell a ticket for an event that doesn't take place physically but rather as an online broadcast or communication – typically a webinar, online workshop, concert, theatre performance, meeting, or online class.

Supported platforms include Youtube, Zoom, or Vimeo, which can be integrated through the reservation page into a secure player. This content protection works so that a customer accesses the online event via their reservation code. The reservation code can be used for the whole duration of the event, and an extension can optionally be set. Importantly, the online content is only accessible with the corresponding restriction and through integration into the reservation page, not on the online platform itself.

Having a clear overview in a calendar is an important part of organizing time, especially with online reservations. Thanks to synchronization, you can keep your Google Calendar up to date, and conversely block off time within the range of events on offer.

Calendar synchronization lets you connect the reenio system with an external calendar. This is typically a connection with Google Calendar, and is set up simply by logging in with your Google account and granting access.

Reservations created in the reenio system will appear in your calendar, but the reverse doesn't happen – reservations aren't created from events in your Google Calendar (the booking process is complex enough that a calendar event alone isn't sufficient). In the other direction, i.e. from Google Calendar into the reenio system, synchronization is therefore only limited – events can be synchronized as time blocks, so that no new reservation can be created for that particular date and time.

When the standard details collected from a customer during booking aren't enough, the solution is simple. Booking forms can be extended with custom fields that a customer may or must fill in while booking.

Find out everything you need about customers right at the time of booking – extend the standard form with your own fields and tailor the form to a specific event and type of service.

Custom booking forms let you extend the standard reservation form (name, e-mail, phone) with any additional fields your business needs – from checkboxes, through selecting from options, entering text, all the way to uploading a file (e.g. a photo of the customer or a scanned confirmation). It's also possible to collect specialized data, where the system takes care of validating the correct format.

Individual custom fields can be required, or only shown based on the reserved capacity or a previously selected value. A special group is formed by form fields that affect the reservation price – which makes it easy to handle, for example, a surcharge for renting equipment, a discount for members, or a price adjustment for an above-standard scope of service.

A form can be assigned to a single event, or set globally so it automatically applies to all events on the reservation page. Working with custom forms is therefore very simple while also offering very broad possibilities for use.

Data entered in a custom booking form is saved as part of the specific reservation and can also be included in an export to Excel, and worked with further as needed.

Bank transfer payments

If it doesn't matter how long a payment for a reservation takes, a system-generated bank transfer can be a suitable solution. The system generates the payment details itself, and the customer simply makes a standard transfer from their account.

Offer customers a classic bank transfer payment option too, for cases where you don't need instant confirmation – ideal for reservations made well in advance.

Bank transfer payment in the reenio system is especially useful where the deadline for mandatory payment of a reservation is three days or more, or where payment isn't a condition for the reservation to be created at all. The advantage of this approach is that everything happens purely within the reservation system and the bank, without needing an online payment gateway set up. Another advantage is lower costs for processing payments. The downside, on the other hand, is that checking, synchronizing, and the speed of payments is more complex.

The system provides the customer with the payment details (account number, amount, variable symbol – also in the form of a popular payment QR code) needed to send the payment, and based on the variable symbol, the payment can then be traced and matched to a specific reservation or, in the case of gift coupons, a purchase. Matching can be done manually directly in the administration, or automatically – you just need to set up your supported bank to send notifications of incoming payments to a unique e-mail address. As soon as such a notification arrives from the bank, the system matches the payment based on the variable symbol and marks the reservation as paid itself.

Bank transfer is usually also available as one of the methods within the online payment gateway, though in that case enabling it is more of a complication, since it combines completely different payment methods into a single solution. As with other payment methods, the system automatically issues and sends the customer the relevant accounting document the moment the payment is matched.

API and automation

If the reservation system's built-in options aren't enough, you can use the API and implement the functionality you need yourself, using the data provided by the system. Using the API brings a new dimension of process and data automation in connection with the reservation system.

Connect the reservation system to other applications, smart devices, or automation processes according to your own needs, using the API (Application Programming Interface).

Being able to use the API interface brings a completely new perspective on how you can work with the data managed and provided by the reservation system. Using HTTP-based queries, you can retrieve specific data about reservations, customer overviews, accounting documents, code lists, and more.

Another important element in this regard is so-called Webhooks. These are notifications that can notify any external system, based on an event that has occurred, that a new reservation has been made, that a payment has been received, and so on. Combining Webhook notifications with subsequently retrieving data via the API can result in a comprehensive implementation of your own data-processing logic.

So if you need to build your own statistics dashboards, control lighting in a hall based on ongoing reservations, turn on sauna heating, or communicate with a smart lock, and so on, then using the API offered by the reservation system is essential. A typical use is also a direct connection to automation services such as Make or Home Assistant.
